The Club, contactable via our website, is the data controller in respect of the personal information that you provide. By contacting us, you consent to us processing your personal information.
We will only use your name, contact details and anything else you send to us to provide the information you have requested. We will not share your details with any third party.
Your information will be retained by the club for a limited time so that we can process any request you make.
Club Records
The Club will maintain a record of necessary personal information relating to each member to be solely used in the running and administration of the Club. Specific information will be requested when joining the Club for the first time, and requests for updated information may be made periodically.
The information will be maintained by the Club Secretary and access to this information will be limited to those officers of the club that require this to undertake their duties within the club.
It is the responsibility of each member to ensure that the information given is correct and relevant and to advise the Club of any changes. Additional information will be required in respect of any junior members to ensure the Club meets the necessary Safeguarding standards and policies.
At any time you have the right to know what information the club holds about you, the right to rectify it if it is incorrect or out of date, the right to restrict what is processed and object to part of it being processed in certain circumstances, and the right to have your information erased (the right to be forgotten) upon leaving the club.
If at any time you are not satisfied with the way your information has been handled, you should bring this in the first instance to the attention of the Club Secretary. If the matter is not resolved you have the right to make a complaint to the Information Commissioner’s Office (0303 123 1113, (https://ico.org.uk/concerns).
Safeguarding Policy
Safeguarding is the action the club takes to promote the welfare of children and adults at risk in the club and to protect them from harm. It is important therefore that the club provides a safe and positive environment in these circumstances, and has suitable policies and procedures, for all club members to follow, to achieve this.
All children, under the age of 16, must be accompanied by a parent or nominated legal guardian at any club session. Children between the age of 16 and 18 may attend club sessions unaccompanied with the mutual consent of both the club and parents/legal guardians.
All adults at risk or those who routinely require special needs must be accompanied by a parent or nominated legal guardian at any club session.
The club will ensure that all club members regularly working with children and adults at risk in the club sessions will have undergone a suitable safeguarding training course, such as UK Coaching’s Safeguarding and Protecting Children Online Course or similar recognised course, and also have undergone an Enhanced DBS check. The process for undertaking these requirements is detailed by organisations such as Sport Wales, UK Coaching and the Welsh Sports Association. Where members are required to complete the above all costs will be borne by the club. The club will ensure that all relevant courses and checks are detailed and current.
The club will adopt and follow the necessary safeguarding procedures and policies as suggested by Sports Wales and detailed on their website Sport.Wales.
The club will appoint a suitably qualified member to serve as a Safeguarding Officer to assist with the safeguarding and protection of children, young people and vulnerable adults. The role will include being a point of contact for members, volunteers, parents and children/young people where concerns about welfare, poor practice or abuse are identified. Dealing with any such issues in accordance with guidance and procedures provided by organisations such as the NSPCC and Sport Wales. Maintaining all necessary contact details for parents/legal guardians, local social services, police and the NSPCC.
The monitoring of all related activities in the club, and the implementation of best practice guidance in respect of Safeguarding issues. Ensuring that the confidentiality of all parties and issues are maintained.
When a report of any suspicions, concerns or incidents concerning a child or person at risk is made to the Safeguarding Officer, a written detailed record is to be made at the time. The matter must be acted upon immediately, following the appropriate process as advised by recognised organisations.
